Sam's Club EDI Requirements: How to Become Compliant

Suppliers who already trade with Walmart tend to assume Sam's Club is a checkbox — same parent company, same infrastructure, done. Half of that is true. Sam's Club shares the X12 5010 spec family and AS2 plumbing with Walmart, and its compliance programs (OTIF and SQEP) are administered through Walmart's supplier framework. But it is a separate trading partner: its own ISA qualifiers, its own setup, its own testing cycle. Treat it as a second partner that happens to rhyme with the first.

What carries over, what doesn't

Carries over: the spec family, the AS2 connection pattern, the item discipline, and — with EDISQ — a shared item cross-reference, since GTINs key both relationships. Club orders and the MABD clock

Three features define Sam's Club's 850:

  • SDQ distribution. Club-level quantities arrive packed in SDQ segments; explode them to club ship-tos before allocation.
  • REF*IA round-trip. The Walmart-family internal vendor number must reappear on every downstream document, unmodified.
  • MABD. The must-arrive-by date — not your ship date — drives the OTIF clock. Plan transit backward from MABD and the program becomes manageable; plan forward from ship date and you are gambling with fines.

The ASN and OTIF

On the 856, Sam's Club expects a pick-and-pack hierarchy with pallet level included for club freight, and SSCC-18 serials in MAN segments matching the GS1-128 label on every pallet and carton. The timing rule has teeth: the ASN must post before the truck reaches the DC, and a late ASN is scored as an OTIF miss even when the freight itself is punctual. The only robust answer is transmission wired to ship-confirm — a document that leaves when the truck leaves is never late.

The 852: your side of the bargain

Weekly 852 product activity files carry club-level sell-through and on-hand positions, keyed by the same GTINs as the order flow. This is the demand signal for replenishment forecasting; suppliers who consume it systematically hold fill rate on fast movers and see problems while they are still fixable. It arrives whether you use it or not — using it is free margin.

Pallets change the paperwork

Club freight moves on pallets, and the pallet layer is where Walmart-trained ASN habits need adjusting. The hierarchy includes the pallet tier, each pallet carries its own SSCC-18, and receiving reconciles at both pallet and carton level — so the pack-out data your warehouse captures must record which cartons rode which pallet, not just which cartons shipped. If your warehouse system only tracks carton-level pack-out today, close that gap before certification rather than after the first deduction; it is a data-capture change, not an EDI change, and it is the single most common retrofit for suppliers adding Sam's Club to an existing Walmart setup.
