Walmart EDI Requirements: How to Become Compliant

The documents Walmart requires, how OTIF and SQEP measure you, AS2 connectivity, and the realistic path from PO to compliant supplier.

Walmart is the largest EDI trading partner on earth, and its supplier requirements are the de facto standard everyone else borrows from. Getting compliant is not hard — but it is exact. Here's what Walmart actually requires, without the consultant fog.

The document set

Walmart trades the classic retail chain on X12 5010:

  • 850 Purchase Order in — with two Walmart signatures: the REF*IA internal vendor number that must round-trip on every downstream document, and SDQ segments that pack multi-store distribution quantities into single PO lines. Your system must explode SDQs into store-level allocations before fulfillment.
  • 855 Acknowledgment out — confirm what you can ship.
  • 856 Advance Ship Notice out — pick-and-pack hierarchy, GS1-128/SSCC-18 carton serials in MAN segments, transmitted before the truck reaches the DC. Walmart rejects order-level-only ASNs.
  • 810 Invoice out — three-way matched against PO and ASN. Program allowances must appear as explicit SAC segments, not price adjustments.
  • 997 both directions, automatically.

Item identification is GTIN-based, with Walmart item numbers cross-referenced. Get the item cross-reference right once and half of Walmart compliance follows.

OTIF and SQEP: the two clocks

OTIF (On-Time In-Full) measures delivery: the freight arrives inside the window, complete — and the ASN precedes it. A late ASN is an OTIF miss even when the truck is on time. Fines are charged as a percentage of the cost of goods, monthly, with a scorecard. This is why ASN automation triggered by ship-confirm — not an end-of-day batch — is the single highest-value piece of Walmart EDI.

SQEP (Supplier Quality Excellence Program) measures data and packaging quality in phases: PO accuracy, barcode and label quality, pallet compliance. Label/ASN mismatches — the SSCC-18 on the carton not matching the MAN segment in the document — sit squarely in its sights.

Neither program is negotiable, and both are measured by machine. The good news: they're deterministic. Documents validated against Walmart's spec before transmission simply don't generate document-driven fines.

Connectivity and testing

Walmart trades AS2 direct — no VAN required. That means AS2 certificates, MDN handling, and endpoint management; with EDISQ, that's included infrastructure, not your project. Onboarding runs through Retail Link and a document testing cycle per transaction type. With certified maps the testing loop is short — the EDI side typically takes two to three days; partner-side paperwork sets the overall calendar.

One planning note: Sam's Club is the same 5010 family on the same infrastructure but a separate trading partner — separate qualifiers, separate testing, plus club-level SDQ handling and MABD (must-arrive-by-date) timing. If you're going into both, set them up together and share the item cross-reference.

The realistic path

  1. Get your item data straight. GTINs assigned, Walmart item numbers mapped, vendor number confirmed.
  2. Connect your system. NetSuite, QuickBooks, Dynamics — the connector translates Walmart's documents into your objects.
  3. Test in sandbox. Replay Walmart scenarios — SDQ explosions, ASN hierarchies — until they pass end to end.
  4. Go live with monitoring. Ack tracking on every document, ASN timing tied to ship-confirm.
